BoC Escapes Entry Terms & Conditions & Refund Policy

BoC Escapes Multi-Day Booking Conditions

By entering into any BoC Escapes Multi Day Escape, (the Event)  you, the "Participant" agree with Band of Climbers Travel Ltd TA BoC Escapes of Unit 33, Bellingham Drive, North Tyne Industrial Estate, Benton (the "Event Provider")  to the following:

2. Booking and Payment

   2.1. To secure your reservation, a non-refundable deposit is required at the time of booking.

   2.2. The amount of the deposit will be specified at the time of booking and is non-refundable due to customer cancellation under any circumstances. The deposit may be rolled over to another BoC Escapes event or Destination in the current or subsequent year only.

   2.3. The final balance payment is due no later than 14  weeks prior to the commencement of the Escape.

   2.4. Failure to pay the final balance by the specified deadline may result in the cancellation of your booking, and the withholding of any deposits paid. 

3. Cancellation and Refunds

   3.1. If the Participants cancels a booking after payment of the deposit, the deposit amount is non-refundable.

   3.2. The Participant may roll over a deposit to any future BoC Escape Event, subject to availability, within the same, or subsequent calendar year. 

   3.3. If The Participant cancels a booking after paying the final balance, and more than 10 weeks before the start of the Event, you will be refunded 50% of the final balance payment. 

   3.4. Cancellations made within 10 weeks of the Event start date are not eligible for any refunds.

   3.5. The Participant may roll over any final balance payments to any future BoC Escape Event, subject to availability, within the same, or subsequent calendar year. 

   3.6. The Participant may only roll over to an alternative event once. 

   3.7. BoC Escapes reserves the right to cancel an Event due to unforeseen circumstances or events beyond our control. In such cases, participants will be entitled to a full refund of all payments made to BoC Escapes, including deposits and single room supplements.

4. Single Room Occupancy

       4.1. Single room occupancy may be available on select events, subject to availability.

   4.2.  Participants opting for single room occupancy will be required to pay an additional single room supplement fee, the amount of which will be specified at the time of booking.

  4.3.  The single room supplement fee is non-refundable in the event of  cancellation or cancellation due to late payment of the final booking payment.

  4.4.  BoC Escapes reserves the right to assign participants to shared accommodations if single room occupancy is unavailable at the time of booking.

5. Event Cancellation by BoC Escapes

   5.1. BoC Escapes reserves the right to cancel a Event if minimum participant numbers are not met.

   5.2. In the event of Event cancellation by BoC Escapes, participants will be notified as soon as possible, and a full refund of all payments made to BoC Escapes will be provided.

  5.3. BoC Escapes may endevour to offer an alternative date should any cancellation take place.

6. Participant Responsibility, Risk, and Liability

   6.2 By booking a BoC Escapes event, all entrants agree to accept the terms of our entry Waiver, detailed below:

BoC Escapes Entry Waiver

The Participant understand that they are participating in a very challenging cycling Event, in an extreme environment. As such, each Participant understands that they should be in good health upon entering the event, with a level of fitness appropriate to the event requirements. 

The participant understands that their bike needs to be in a sound mechanical condition, with gearing and components suitable for mountainous terrain, and for riding continuous climbs up to 2 hours in duration. Brakes and tyres specifically should be in excellent condition. Basic mechanical support is offered by the Event team, including the use of tools. For any major repairs, the Event team will engage the use of a local bike shop to help.
The Participant agrees that they will obey all traffic regulations and rules in place in the location of the Event, and understands that they will be riding on open roads with vehicles and traffic, and that there may be unavoidable obstacles on the roads, such as roadworks, loose surfaces and construction furniture on the roads at any time. In rare cases, road conditions may dictate that the planned event route needs to change. The Participant understands that planned routes may need to change, due to factors beyond the control of the Event Provider.

The Participant agrees that they will ride within their own physical limits at all times, and not endanger themselves or other Event Participants or the general public.

The Participant acknowledges to the Event Provider that the Participant does not have any physical limitations, medical ailments, or physical or mental disabilities that would limit or prevent the Participant from participating in the Event. If required, the Participant will obtain a medical examination and clearance.

The Participant releases and forever discharges the Event Provider, its owners, directors, officers, employees, agents, assigns, legal representatives, and successors from all manner of actions, causes of action, debts, accounts, bonds, contracts, claims, and demands for or by reason of any injury to person or property, including injury resulting in the death of the Participant, which has been or may be sustained as a consequence of the Participant's participation in the Event, or the mechanical support offered by the Event team or it’s 3rd party partners.

7. Insurance

   7.1. BoC Escapes requires each  to book personal travel insurance for loss, injury or damage that he/she might sustain arising from participation in the Event. BoC Escapes may request policy information before commencement of the Event.

   7.2. BoC Escapes recommends third party cancellation insurance packages for Participants at point of booking.

   7.3. BoC Escapes recommends that Participants have bike insurance for cover during the event, including coverage for loss, theft or accidental damage, which is valid in the destination of the event. 

   7.4. BoC Escapes accept no liability for any damage to bikes whilst in transit to or from our events.  

9. Governing Law

   9.1. These terms and conditions shall be governed by and construed in accordance with the laws of The United Kingdom, without regard to its conflict of law provisions.

By booking an Event with BoC Escapes, The Participant confirms that they have read, understood, and agree to abide by these terms and conditions.
